How the systems work
How do you make sure the AI doesn’t make mistakes or go off-script? ⌄
We don’t let the AI "guess." Every workflow has guardrails, rules, fallbacks, and human handoffs. If something isn’t clear, the system escalates – it doesn’t improvise. That’s how we make it predictable and safe for real operations.
What happens if one of the tools we use goes down? ⌄
The system has retries, fallbacks, and alerts built in. If Twilio, your CRM, calendars, or another tool has an outage, the workflow doesn’t silently break – it pauses, retries, and notifies us so we fix it before customers feel it.
Can the system handle multiple locations, teams, or departments? ⌄
Yes. Workflows can branch by location, team, product line, schedules, or rules. Multi-site routing is one of the most common setups we build.
What do you need from us to get started? ⌄
Very little. We just need access to the tools you already use and clarity on how your current workflow runs. Everything else – mapping, copy, logic, testing – is handled by us.
Implementation, impact & change
Does this replace people or just reduce admin work? ⌄
It removes repetitive tasks, not roles. Your team handles judgement-based work; the system handles reminders, routing, follow-ups, data updates, and predictable logic.
How do we measure whether the automation is actually working? ⌄
We define one primary success metric before we build – usually no-show reduction, response time, booking conversion, or hours saved. We monitor results and send performance updates so you always know what’s improving.
Can the automations adapt if our policies or hours change? ⌄
Yes. Your system isn’t static – we update workflows when your hours, offers, policies, or rules change. It evolves with your business so it never goes stale.
What happens after the system is live? ⌄
We monitor delivery, tune flows based on real usage, catch failures early, and adjust logic as your business changes. You’re not left maintaining the system – we look after it.
